Report, not certification

Use the preset that matches the question being asked.

The report reflects entries in CryoIndex at generation time. It cannot prove an unrecorded physical observation, certify a process, or decide whether the lab meets a particular policy or standard.

Choose the question

Start with one of four fixed report types.

Period activity and exceptions

Events, unresolved findings, and optionally liquid-nitrogen fills during a selected interval.

Inventory snapshot

What is currently in storage, including capacity and do-not-use figures.

Vial history

The recorded lifecycle of one selected vial.

Liquid nitrogen log

Recorded fills and schedule gaps during a selected interval.

The fixed presets keep the scope explicit and prevent a report from implying controls the app does not provide.

  1. Choose the preset that directly answers the review question.
  2. The description under each option states what that preset contains.

Prepare before saving

Verify the subject, interval, and dewar scope.

  1. Choose a date range only for a period-based report. Inventory snapshots describe the current state; vial history follows the selected record.
  2. For an Inventory snapshot in a multi-dewar lab, choose Every dewar or one named dewar. The other report presets do not show this dewar-scope control.
  3. Select Prepare the report. Review the displayed title, generation time, scope, figures, and report identifier before saving.
  4. If the scope is wrong, go back and correct the controls. Do not rename a saved file in a way that suggests a different subject or period.

The prepared view is the final scope check before any PDF, CSV, or bundle is written.

  1. Confirm the report type and the named scope.
  2. Review the figures before treating the output as a lab record.
  3. Keep the report identifier with the generated files.

Choose the useful form

Use the PDF for review and the CSV for complete detail.

Choose The PDF, the figures and a manifest when those three files should be shared together through Android's share sheet. The bundle contains the PDF, CSV, and a manifest listing their names, sizes, and SHA-256 checksums. The checksum can detect a later file change; it does not prove that the original entry was physically correct. Use the separate PDF or CSV controls when the files should be saved directly to tablet or USB storage.

Use the smallest output that fits the purpose, but keep the CSV when every detailed row matters.

  1. Share The PDF, the figures and a manifest together.
  2. Save an individual PDF or CSV when a bundle is unnecessary.
  3. Use Android's share sheet only with an approved destination.

Keep the source record

Large PDFs may summarise; the companion CSV remains complete.

To keep a PDF readable and reliable, CryoIndex can omit very large detail tables and state that clearly in the document. The companion report CSV retains the detailed rows. Preserve relevant reports with the lab's external CryoIndex backup and any source records required by the laboratory's own procedure.
